Asset Document Automation
Testing Guide

1. Open ATLBox and sign in
   Open ATLBox

   Use username shelley.lamar@atl.com.atlbox. If you are already in production Citiri, confirm the browser URL contains --atlbox.sandbox.

2. What you already have
   • Permission set Asset Document Management (URL fields + uploader Apex)
   • Library Administrator on the seeded MB8 handover library
   • Access to report folder Part A Asset Document UAT
3. How testing is scoped
   • Most tests use seeded Maintenance Building 8 records (preferred).
   • Only Test 1 creates a new Parent — required to prove auto library creation.
   • MB8 Sample System 1 already has a Drawings public URL (kept on purpose for overwrite testing).

Confirmation reports

Create a new Parent (Test 1 only)

1. Start a new Parent record
   Open New Parent form
   Where: Or App Launcher (dot-grid) → search System & Equipment → list view → New → choose record type Parent.
2. Fill required fields and save
   • Set Display Name to something unique, e.g. UAT Parent Library Test.
   • Leave other fields blank unless your org requires them.
   • Click Save.
3. Wait ~10–20 seconds, then refresh the record

   Library creation runs in the background. Refresh the Parent page once.

4. Confirm library fields on the Parent
   Where: On the Parent record, open the Details tab (main center panel). Scroll until you see Asset Library Id and Asset Library Folder Id.
   • Pass if both fields are populated (18-character Ids).
5. Confirm the library and folder hierarchy in Files
   Open Libraries
   Where: App Launcher → Files → left navigation Libraries (or use the button above). Open the library named like UAT Parent Library Test - Handover Documents.

   Inside the library you should see these folders:

   • Commissioning - Test Reports
   • Drawings
   • Operations & Maintenance Manuals
   • Warranties
   • Other
6. Confirm you are Library Administrator
   Where: On that library page → gear / Manage Members (or Manage Library) → members list.

   Your user should appear with permission Library Administrator.

1. Open the seeded library
   Open MB8 Handover Library
2. Verify the five doc-type folders exist

   Same five folders as Test 1. Placeholder sample files may already appear in some folders from seeding.

3. Optional: open the Parent that owns this library
   Open Parent Maintenance Building 8

   Details → Asset Library Id should equal the library you just opened.

3A — Commissioning (System 2)

• Document Type: Commissioning
• Confirm on record: Details tab → field Commissioning Document URL is populated with a public link. Click it — it should open/view the file.
• Confirm on Files list: Right sidebar Files related list shows the new file.
• Confirm in library: MB8 library → folder Commissioning - Test Reports contains the file.

3B — Drawings (System 2)

Same record as 3A is fine.

• Document Type: Drawings
• Confirm field Drawings Document URL
• Library folder: Drawings

3C — Operations/Maintenance Manual (Equipment 1)

• Document Type: Operations/Maintenance Manual
• Confirm field O&M Manual URL (may appear as O_M / Operations & Maintenance Manual URL depending on page layout label)
• Library folder: Operations & Maintenance Manuals

3D — Warranty (Equipment 2)

• Document Type: Warranty
• Confirm field Warranty Document URL
• Library folder: Warranties

3E — Other (System 2) — no main URL overwrite

• Document Type: Other
• Confirm: file appears on the record Files list and in library folder Other
• Confirm: the four main URL fields are not cleared or changed by this upload

4A — Cancel overwrite (abort)

1. Note the current Drawings Document URL
   Where: Details tab → Drawings Document URL. Copy or screenshot the value.
2. Upload a different file as Drawings

   Sidebar → Document Type Drawings → upload a new small file.

3. When the confirm dialog appears, choose Cancel / No

   You should see a cancelled/aborted message. The prior Drawings URL must remain unchanged.

4B — Confirm overwrite (replace)

1. Upload again as Drawings

   Use another new file. On the confirm dialog, choose OK / Yes / Replace.

2. Confirm the new public URL
   • Details → Drawings Document URL is a new link (different from before).
   • The new link opens the new file.
3. Confirm the prior file was kept under Other (not deleted)
   Open MB8 library
   • Library folder Other should contain the previous Drawings file (or an older demoted file).
   • Folder Drawings should contain the newest current file.
   • Nothing should have been permanently deleted from the library for this flow.

1. Open the URL confirmation report
   Run Part A MB8 Document URLs
   Where else: App Launcher → Reports → folder Part A Asset Document UAT → report Part A MB8 Document URLs.

   Click Run if needed. Filter or scan for Display Names starting with MB8 Sample and Maintenance Building 8.

   • Expect Commissioning / Drawings / O&M / Warranty URL columns populated for the records you uploaded.
   • Parent row should show Asset Library Id.
2. Open the tracking report
   Run Part A Asset Document Tracking
   • Expect one or more rows per upload with Document Type, Public URL, and Is Current.
   • After overwrite, the demoted Drawings row should show Is Current = false (and type may show as Other).
   • The newest Drawings row for System 1 should show Is Current = true.

• New Parent created a handover library with all five folders
• Parent creator is Library Administrator on that new library
• Parent Asset Library Id / Folder Id fields populated
• Seeded MB8 library visible with five folders
• Commissioning upload → URL field + library folder
• Drawings upload → URL field + library folder
• O&M Manual upload → URL field + library folder
• Warranty upload → URL field + library folder
• Other upload → library Other folder, main URL fields unchanged
• Overwrite cancel leaves existing Drawings URL unchanged
• Overwrite confirm updates URL; prior file kept under Other
• Files related list shows uploaded documents on the record
• Reports show expected URLs and tracking rows
